Responsible Use of Artificial Intelligence (AI) Policy

At Tessera PBS, people always come first.

Positive Behaviour Support is built on understanding the individual — their experiences, strengths, communication, environment, relationships, and support needs.

Technology, including Artificial Intelligence (AI), may be used to support our work; however, human connection, professional judgement, ethical practice, and participant choice always guide decision-making.

This policy explains how Tessera PBS approaches the responsible use of AI.

What is Artificial Intelligence (AI)?

Artificial Intelligence (AI) refers to technology that can assist people with certain tasks, such as:

• organising information
• improving document structure and formatting
• summarising information
• supporting administration processes
• improving clarity of communication

AI is a tool.

AI does not understand a person’s lived experience, emotions, relationships, disability, culture, trauma history, communication needs, or unique circumstances.

People remain at the centre of all decisions.

Why Tessera PBS Uses AI

 

Tessera PBS may use AI tools responsibly to support efficiency and improve administrative processes.

Appropriate use of AI may help:

• reduce time spent on administrative tasks
• support organisation of information
• improve document formatting and readability
• assist with service quality and consistency

This allows more time to be focused on meaningful work with participants, families, carers, and support teams.

AI supports professional practice — it does not replace it.

Does AI Make Decisions About Participants?

No.

AI is never used to independently make decisions about:

• a participant’s behaviour support needs
• assessment outcomes
• behaviour function
• recommendations
• risks or safeguarding decisions
• support requirements
• restrictive practice decisions

All decisions are made by qualified professionals using:

• Functional Behaviour Assessment
• evidence gathered through assessment
• observations and data
• collaboration with participants and support networks
• professional knowledge and judgement
• ethical and NDIS practice requirements

People, not technology, are responsible for decisions.

AI and Behaviour Support Reports

AI may assist with:

• formatting documents
• organising information
• improving readability
• supporting administrative efficiency

However:

• AI does not complete Functional Behaviour Assessments
• AI does not determine behaviour functions
• AI does not create recommendations independently
• AI does not replace professional analysis or judgement

All reports, Behaviour Support Plans, and recommendations are developed, reviewed, and approved by the Behaviour Support Practitioner.

Tessera PBS remains fully responsible for all documentation provided.

 

Privacy and Confidentiality

Protecting personal information is essential.

Tessera PBS manages information in accordance with:

• Privacy Act 1988 (Cth)
• Australian Privacy Principles
• NDIS Quality and Safeguards requirements
• confidentiality obligations

When using technology, Tessera PBS takes reasonable steps to protect participant privacy and information security.

AI tools must not be used in ways that compromise confidentiality or participant rights.

What AI Will Not Be Used For

Tessera PBS will not use AI to:

• replace human relationships or professional judgement
• make automated decisions about participants
• determine eligibility or support needs
• replace assessment processes
• diagnose conditions
• predict personal characteristics
• make restrictive practice decisions
• create discriminatory or harmful content
• avoid professional responsibilities

Human Oversight and Accountability

All information, reports, recommendations, and resources produced by Tessera PBS involve human review and professional oversight.

Practitioners remain responsible for ensuring information is:

• accurate
• evidence-informed
• respectful
• person-centred
• aligned with participant needs
• consistent with NDIS requirements

Feedback or Concerns

Tessera PBS values transparency and trust.

If you have questions or concerns about the use of technology or AI within our services, you are encouraged to contact us.

Concerns will be reviewed respectfully and appropriate action will be taken where required.
